Sharing and collaboration

Manage shares: counts, expiry, disabling, and deletion

Names stay fixed. Distinguish immediate switches from saved drafts without resetting usage or history ordering.

Canvas name, share name, and history ordering

Canvas title differs from a link's name, initially based on the title at creation. Share names are fixed after creation; later canvas renaming does not change existing links or participant labels.

Owner history sorts by initial creation time, newest first. Updating, disabling, enabling, or expiry does not reorder it. Summary time is creation; last-change time on Update describes edits, not sorting.

Expand the existing record to modify it. The main form creates another link, not overwrite history. A successful update retains the same URL.

History is newest-created first

Fixed names and immediate status switches. Expand details to edit settings; changes do not reorder creation history.

Editable fields and when changes apply

Controls edit drafts. Update is disabled without changes. Failure leaves old settings effective. Expanded records save separately; collapsing or closing is not saving.

Disabled details are read-only with no Update. Re-enable before changes. Re-enabling neither extends lifetime nor clears usage. An enabled-but-expired record can adjust lifetime from original creation.

Action/fieldHow it appliesScope
Share name/creation timeFixed after creation.Original name and lifetime origin stay.
Disable/enableSwitch submits immediately; wait for success, no Update needed. This link only; disabling releases unused dedicated funds and discards its unsaved draft.
Mode/lifetimeEdit enabled record and Update successfully. This link's future access, not others.
Budget/funding/auto-replenishUpdate; confirm funding adjustment when re-enabling requires it.Recheck funds, reserve/release unused amounts; retain usage and accepted tasks.
Material access/scopeUpdate successfully.Future library access for this link, not deletion of already-used canvas content.
People rulesSave people permissions separately. All links of this canvas.
Delete shareDisable, wait for related settlement, then confirm deletion.Permanent authorization/history deletion; old URL cannot return.
Editable settings of an enabled share

Mode, lifetime, funding, budget, and resources belong to this record. Update below the captured area is still required. No usable link is shown.

20 records includes inactive history

Active, disabled, and expired share records all count toward the 20-per-canvas maximum. Disabling and expiry do not free slots.

Adjust/re-enable an existing link when appropriate rather than repeatedly create. Updating does not use another slot.

To free a slot, disable, wait for related tasks to settle, and permanently delete an unwanted record. Its URL/history cannot be restored.

Lifetime starts at first creation

A finite lifetime starts at this link's first creation. Disabling and enabling do not restart it.

A seven-day link disabled on day 3 and re-enabled on day 5 still expires on day 7. Extend its chosen term or set permanent if appropriate.

Extend an expired link and complete access/enabling checks. Link lifetime does not extend credit lifetime.

An active record cannot select a term already elapsed from creation. If dedicated funding is insufficient on re-enable, explicitly confirm the offered budget adjustment. Cancel does not change budget or silently switch to real-time.

Lifetime starts at creation

Day 0Create a seven-day link
Days 3–5Disable, then enable
Day 7Expires without an extension
Seven-day example. Disabling and enabling do not restart the countdown.

Different ways to end access

ActionEffectContinue?
Owner disablesBlocks new access/tasks; accepted tasks continue.Re-enable with lifetime/account/funding checks.
ExpiryBlocks future access/actions.Owner adjusts lifetime and passes checks.
Permanent share deletionIrreversible link/history removal, not canvas deletion or erased consumption. Participant entries may show deleted.Create a new share; old URL cannot revive.
Participant removes sidebar entryHides personal entry only, not owner content.Rejoin a still-valid public URL.
Delete canvas/sessionSource deletion affects sharing.Follow source recovery; sharing cannot restore it.

Review periodically

  • Check editing links, people rules, and private additions to shared folders.
  • Review unsettled tasks, usage, funds, and expiry before reducing or deleting.
  • Owner-account restrictions cannot be bypassed by participant membership or payer choice.
  • Unavailable entries do not retain source access. Download or back up long-term deliverables.
